# AI Sales Trainer — End User Guide

This guide covers all features of the AI Sales Trainer module, including how to set up training scenarios, organise them into plans, schedule training sessions for your sales team, and manage the call tracking numbers required to run AI-powered training calls.

It is assumed that the Sales Manager creates the training plans, scenarios, and administers all aspects of the Sales Training system. The majority of this article is centered around the Sales Manager’s use of the training system.

## Overview

The AI Sales Trainer lets administrators (Sales Managers) create realistic AI-powered training call scenarios for their sales team. A salesperson dials in to a call tracking number assigned to their session and speaks with an AI prospect. After the call, the system evaluates the conversation against the scenario's objectives and provides a performance score.

The module has three main areas:

## Navigation

Role: Sales Manager

The AI Sales Trainer is accessible from the left navigation panel under the **Sales Trainer** section. The items appear in this order:

1. **Training Schedule** — view and manage scheduled training sessions
2. **Training Plans** — organize scenarios into plans
3. **Training Scenarios** — create and manage individual scenarios

> **Note:** The Sales Trainer section is only visible when the AI Sales Trainer feature is enabled for your account.

## Agency / Sub-Account Switcher

Role: Sales Manager

If a Sales Manager is signed in to an **agency** account, the Training Schedule and other Sales Trainer pages display an **Account** elector at the top. Use this dropdown to switch between the agency itself and any sub-account you have access to. The page reloads to show the trainings, scenarios, salespeople, and tracking numbers for the selected account.

## Training Scenarios

Role: Sales Manager

  Active State: Only ‘active’ scenarios can be used to schedule training tasks
2. Draft: If a training task is not completely set up, it will stay in draft mode. Clicking the :question_mark: will let you know what is missing from the scenario


A scenario defines the AI prospect that a salesperson will speak with during a training call. Each scenario includes the prospect's persona, backstory, conversation guidance, and the criteria used to evaluate the salesperson's performance.

### Creating a Scenario

1. Navigate to **Training Scenarios** in the left nav.
2. Click **New Scenario**.
3. Enter the **Scenario Name** at the top — this is required and is shown in all scenario lists, schedule cards, and reports.
4. Work through each step of the scenario wizard (see [Scenario Wizard Steps](#scenario-wizard-steps) below). You can click a step's circle in the progress bar at any time to jump to it (once the scenario has been saved at least once).
5. Click **Save Scenario** on the final step to publish.

The wizard guides you through the following steps. Steps 1–5 apply to every account; step 6 only appears when the account is in **senior living** mode.

#### Step 1 — Context

Configure how this scenario interacts with your CRM and deal pipeline:

**Training Plan**  
If training plans have been created in your account, you can assign this scenario to a plan directly from this step.

**CRM and Deal Stage**

The scenario stores a single CRM sales stage that is used when a deal or prospect record is created in your CRM after a training call.

- If your account has a **Senior Living CRM integrated** (e.g. WelcomeHome, Aline, Eldermark, Alis), a CRM picker and a stage picklist sourced directly from that CRM are shown. If only one CRM is integrated, the picker is hidden and the CRM is selected automatically.
- If your account uses **ActiveDEMAND CRM** (no external CRM integrated), a pipeline picker and a stage picklist from your AD deal pipelines are shown instead.
- If neither condition applies, the deal stage section is hidden entirely.

A **stage progression bar** (chevron steps) is displayed below the stage select. It updates live as you change the selected stage, giving you a visual preview of where in the pipeline the deal will be placed.

**Context Fields**  
If your account has context fields configured (e.g. Care Type, Move Timeline, Budget Range, Priority), they appear in this section. You can enable each field and set a default value that the AI will use during the call. If no context fields are configured, a note is displayed instead.

#### Step 2 — Objectives

Define what the salesperson should achieve during the call. Each objective has a name, description, and priority level. You can add, reorder, and remove objectives here.

#### Step 3 — Evaluation Criteria

Define the specific criteria used to score the salesperson's performance on each objective. Each criterion is linked to an objective and has a weight and an example of a good response.

#### Step 4 — Primary Contact

Define who the AI prospect is and how they sound. This step combines the persona, voice, and (for senior living accounts) prospect-vs-influencer information into one place:

- **Role** — the contact's role (e.g. Prospect, Influencer)
- **Prospect Type** — the type of prospect (e.g. Self, Family Member)
- **Full Name** — the AI prospect's display name during the call
- **Voice** — the AI voice used for the prospect (moved here from the Conversation step)
- **Warmth Level** — how receptive the prospect is (Cold, Warm, Hot)
- **Decision Stage** — where the prospect is in their decision journey
- **Avatar** — optional image for the contact
- **Prospect / Influencer details** — when senior living mode is enabled, distinct fields capture the prospective resident and the family member or influencer making the enquiry

This step also exposes several **Copy** helpers — see [Copy Helpers in the Primary Contact Step](#copy-helpers-in-the-primary-contact-step) below.

#### Step 5 — Conversation

Provide the AI with the conversational material it needs:

- **Backstory** — general background for the contact
- **Guidance** — internal notes for the AI on how to behave during the call
- **First Message** — the opening line the AI will say when the salesperson connects
- **Topics**, **Questions the prospect will ask**, and **Objections the prospect will raise**

#### Step 6 — Additional Participants (Senior Living only)

For senior living scenarios you can define additional people who may be referenced during the call (other family members, decision-makers, the resident, etc.), each with a name and relationship to the primary contact.

#### Unsaved Changes Warning

If you navigate away from the wizard with unsaved changes, a confirmation dialog titled **Unsaved Changes** will ask whether you want to leave. Clicking **OK** will discard your changes and return you to the scenarios list.

### Copy Helpers in the Primary Contact Step

To make creating related scenarios faster, the Primary Contact step exposes several **Copy** actions:

- **Copy from CRM Prospect / Deal** (senior living accounts) — search your integrated CRM for an existing prospect or deal contact and pre-fill the primary contact, prospective resident, and (where applicable) influencer fields from that CRM record.
- **Copy from Plan Scenario** — if the scenario is assigned to a training plan, you can pre-fill contact details (name, role, voice, warmth, decision stage, etc.) from any sibling scenario in the same plan.
- **Generate with AI **— This allows you to generate a profile using AI

Each copy action opens a modal to choose the source; selected fields are written into the form but not saved until you click **Save Scenario**.

### Tips Panels

Each wizard step shows a **Tips** info panel the first time you visit that step. After you close the tips (using the × button) or after the first view, the tips are remembered as seen for that step in your browser, and the left column expands to full width on subsequent visits. Tips are tracked per-step in your browser's local storage, so dismissing them on one machine does not affect another.

### Deleting a Scenario

1. On the **Training Scenarios** index, click the **Delete** icon next to a scenario.
2. Confirm the deletion in the **Delete Training** dialog.
3. The scenario is permanently removed.

## Training Plans

Role: Sales Manager

Training plans let you group related scenarios into an ordered curriculum. A salesperson works through the scenarios in a plan in sequence.

> ℹ️ The order of the training plans dictate how the plans will show up in the training task scheduler

### Creating a Training Plan

1. Navigate to **Training Plans** in the left nav.
2. Click **New Training Plan**.
3. Enter a **name** and a **description** for the plan. The description supports rich text via the Froala editor (formatting, links, lists, etc.).
4. Click **Save Changes**.

> A loading screen is displayed while the plan is being saved. A success notification confirms the save.

### Adding and Reordering Scenarios in a Plan

From the **Training Plan** detail page:

1. Find the scenario you want to add in the available scenarios list (an **Add Scenario** tooltip explains the action).
2. Click the scenario to add it to the plan. A success notification confirms it has been added and the plan saved.
3. Scenarios in the plan can be **reordered** by drag-and-drop; the new order is saved automatically.

> A **green checkmark** next to a scenario indicates the currently selected salesperson has already completed it.

### Removing Scenarios from a Plan

From the **Training Plan** detail page:

1. Find the scenario in the plan's scenario list.
2. Click the **Remove** button next to it.
3. A success notification confirms the scenario has been removed.

## Training Schedule

Role: Sales Manager

1. **Cancelled **— the training task was cancelled
2. **Completed** — the salesperson has already finished this scenario at least once.
3. **Overdue **— the training task has not started and is now overdue. This task **must be rescheduled**
4. **Scheduled** (current) — This task is scheduled and is ready and can be started now. This current time is within the scheduled training task time slot
5. **In Progress** — the salesperson currently has an in-progress training for this scenario.
6. **Scheduled  **— This is in the future and cannot be called right now

The Training Schedule is where you assign scenarios to salespeople and track completion. Each entry on the schedule is a **training session** (or **training task**) — a specific scenario assigned to a specific salesperson on a specific date.

The Training Schedule page shows two views of your sessions:

- A **monthly calendar** at the top with previous / next month navigation and an event card per session, color-coded by status (scheduled, in progress, completed, etc.).
- A **table** of all sessions below the calendar, with columns for Task Name, Salesperson, Scenario, Date/Time, Status, Deal, Edit, and Delete.

### Scheduling a Training Session (4-Step Wizard)

Click **Schedule Training** (top right of the Training Schedule). A modal opens with a **four-step wizard**:

#### Step 1 — Details

- **Training Name** — an optional friendly name for this session.
- **Salesperson** — select the salesperson to train. If the selected salesperson has no phone number on file, a yellow warning is shown explaining that the salesperson must have a phone number registered to receive scheduled calls, with a link to open their profile (when you have access to that account).
- **Training Plan** — once a salesperson is selected, choose a training plan to filter the available scenarios. If all scenarios belong to plans (none are unassigned), the first plan is selected automatically. A dismissible info panel shows the plan's description.
- **Scenarios** — the scenarios available for the selected plan are listed as clickable cards. Each card shows a **status badge** for the selected salesperson — see [Scenario Status Badges](#scenario-status-badges).
- A **Scenario Preview** portlet appears once a scenario is selected, showing its objectives and primary contact details so you can confirm your choice.

#### Step 2 — Options

- **Auto-create deal / prospect in CRM** — optionally create a deal or prospect record in your CRM when the training call is completed. Only shown when a CRM is integrated or Deals-as-CRM is enabled.
- **CRM choice** — read-only display of the CRM the scenario will post to (sourced from the selected scenario). To change it, edit the scenario itself.
- **CRM Salesperson** — when a senior living CRM is integrated, you can pick which CRM-side user the created deal/prospect should be assigned to. The list is loaded from the CRM and the best match by email is pre-selected. The label adapts per CRM (e.g. "Leasing Counselor" for Sherpa, "Sales Counselor" for WelcomeHome).
- **Auto-create CRM task** — optionally create a follow-up task in the CRM.
- **Auto-create calendar appointment** — optionally create an appointment in the salesperson's calendar for this session (only enabled if the salesperson has a calendar integration; otherwise the checkbox is disabled and a help message explains why).
- **Call Tracking Number** — if more than one number is in the training pool, choose which reserved training number this session's task and calendar appointment should use. Otherwise the default training number is used automatically.

Account-level defaults for the three automations come from **Sales Trainer Settings** and can be overridden per training.

#### Step 3 — Schedule

Pick the **Date**, **Time**, and **Duration** (30 / 60 / 90 / 120 minutes) for the session.

A mini in-modal calendar (Day / Week / Month views) shows the salesperson's existing commitments. See [Calendar Views and Conflict Warnings](#calendar-views-and-conflict-warnings) below.

#### Step 4 — Review

A summary table shows Salesperson, Scenario, Virtual Prospect, Date/Time, Duration, and the scenario's Objectives. Click **Submit** to create the session. A loading screen is displayed while the session is being created.

### Calendar Views and Conflict Warnings

Role: Sales Manager

The mini calendar on the Schedule step supports **Day**, **Week**, and **Month** views and can be navigated with **Previous**, **Next**, and **Today** buttons. It loads the salesperson's existing busy times (from their calendar integration where available, plus other scheduled trainings) so you can pick a free slot.

If the chosen date/time/duration overlaps an existing busy block, a **conflict warning** appears below the calendar with an exclamation icon. You can still schedule on top of a conflict if you choose to — the warning is informational.

### Scenario Status Badges

In the Schedule wizard's scenarios list, every scenario displays a status badge for the **selected salesperson**:

If you select a scenario that is already **scheduled** or **in progress** for the chosen salesperson, you'll be warned before being allowed to book another session. Completed scenarios can be re-practiced freely.

> It is recommended to assign scenarios in the order they appear in the plan.

### Editing a Scheduled Training

1. On the **Training Schedule** index (table view) or calendar, click the **Edit** icon (or the event card) for a session.
2. The 4-step wizard opens **pre-populated** with the existing values — including the salesperson, scenario, options, date, time, and duration.
3. Make your changes and proceed through the wizard, then click **Submit** to save.

> When editing, the scenario can be changed in addition to the date/time, salesperson, and options.

### Cancelling a Training

1. On the **Training Schedule** index, click the **Delete (×)** icon next to a session.
2. Confirm the cancellation in the **Cancel Training** dialog.
3. The session is removed from the schedule.

### Filtering the Schedule

The Training Schedule index includes a filter bar with:

- **Salesperson** — filter sessions by salesperson
- **Scenario** — filter sessions by scenario

Filter selections are persisted in your browser session, so the same filters are restored if you refresh the page or navigate away and return.

Click **Clear Filters** to reset both filters and show all sessions.

## Call Tracking Numbers for Training

Role: Sales Manager/Administrator

AI Sales Trainer calls use a **pool** of call tracking numbers that have been reserved for training tasks. When a training is scheduled, a number from the pool is allocated to that specific training task; multiple trainings can run concurrently using different numbers from the pool.

### Reserving a Number for the Training Pool

If you already have call tracking numbers in your account:

1. Navigate to **Phones** (Call Tracking) in the left nav.
2. Find the number you want to reserve and click **Edit**.
3. In the edit modal (titled **Editing Tracked Number \<phone number\>**), check the **Reserve for AI Sales Training Calls** checkbox.
4. When this checkbox is checked, the existing routing rule for the number is automatically cleared — a reserved training number does not route calls through standard call rules.
5. Click **Save**.

The number's **Default/Rule** column in the phones table will display **Reserved for Sales Training Tasks** to indicate its purpose.

> **Important:** Numbers reserved for AI Sales Training are not available for selection in DNI pools, workflow actions, or any other part of the platform. They can only be allocated by the training scheduler.

### Adding a New Number for Training

If you need to add a new number specifically for training:

1. Navigate to **Phones** in the left nav.
2. Click **Add Tracked Number**.
3. In the **Add Tracked Number** dialog, select **Create AI Sales Training Tasks**.
4. Search for and select an available number.
5. The **Reserve for AI Sales Training Calls** checkbox will be pre-checked in the edit modal that follows.
6. Complete the setup and click **Save**.

> The **Create AI Sales Training Tasks** option is only visible when the AI Sales Trainer feature is enabled for your account.

### How Numbers Are Allocated per Training

Tracking numbers are now **decoupled from scenarios** and are allocated **per training task** from the reserved pool:

- When you schedule a training, the system picks a free number from the pool (or you may pick one explicitly on the Options step if more than one is available).
- The chosen number is recorded on that training task only — it is **not** stored on the scenario, so the same scenario can run concurrently with different salespeople on different numbers.
- The number is used both for the call tracking task and (if enabled) the calendar appointment dial-in instructions.

### What Happens When No Number Is Reserved

If no call tracking number has been reserved for training tasks, the Training Schedule page displays a warning notice and the **Schedule Training** button is disabled.

The notice message varies depending on your account's phone inventory:

| Situation | Message shown |
| --- | --- |
| You have phones but none are reserved for training | A note explaining that a number needs to be reserved, with a **Reserve a call tracking number** button (if you have permission to manage phones) |
| You have no phones at all | A note explaining that a number needs to be added and reserved |

Click **Reserve a call tracking number** to go directly to the Phones page where you can reserve or add a number.

## Salesperson Requirements

Role: Sales Manager

For a salesperson to be schedulable for training calls they must have a **phone number** on their contact record. The phone number is what the system uses to recognize the salesperson when they dial in to the training tracking number. The salesperson must have an ActiveDEMAND user account with “Sales User” permissions

If the salesperson has no phone number, the scheduling modal shows a yellow warning on Step 1 of the wizard and a link to open the salesperson's contact profile (when you have access to it) so the missing number can be added.

## CRM Integration

### How the CRM Stage Works

When a training call is completed and the **Auto-create deal/prospect in CRM** option is enabled on the training session, the system creates a deal or prospect record in your CRM at the stage configured on the scenario.

The scenario stores a single `crm_sales_stage_uid` value that works for both external CRMs and the ActiveDEMAND internal deal pipeline:

- **External CRM** — the value is the CRM's own stage UID (fetched directly from the CRM's API), so no name-matching is needed at post time.
- **ActiveDEMAND Internal CRM** — the value is the AD deal stage ID stored as a string.

When you edit a scenario, the pipeline and stage selects are pre-populated from the saved value automatically.

### CRM Salesperson Mapping

For integrated senior living CRMs, the scheduling wizard's Options step includes a **CRM Salesperson** picklist sourced from the CRM itself. The system pre-selects the best match based on the ActiveDEMAND salesperson's email. This value is stored on the training and used to assign the created deal/prospect to the correct CRM-side user.

The label adapts per CRM (e.g. "Leasing Counselor" for Sherpa, "Sales Counselor" for WelcomeHome).

### Supported CRMs

The CRM sales stage picklist is populated from the following integrated Senior Living CRMs:

| CRM | Stage source |

| **WelcomeHome** | Fetched from the WelcomeHome stages API (cached for 6 hours) |
| **Aline** | Fetched from the Enquire stages API |
| **Eldermark** | Fetched from the Eldermark prospect field options |
| **Alis** | Fetched from the Alis prospect stages API |
| **Aline **(PCS) | Creates standard stags |
| **ActiveDEMAND Internal CRM** | Populated from your configured deal pipelines and stages |

## Salesperson Experience

Role: Sales Person

### Receiving a Training Task

When a training session is scheduled for a salesperson, they receive a task notification (via the standard ActiveDEMAND task system) with the details of the training call — including the scenario name, scheduled time, and the call tracking number to dial.

If the scheduling user opted in to **Auto-create calendar appointment**, an appointment is also added to the salesperson's connected calendar with the dial-in instructions.

### Completing a Training Call

1. At the scheduled time, the salesperson dials the **call tracking number** allocated to the training session **from their registered phone number**.
2. The AI prospect answers and begins the conversation according to the scenario's persona and backstory.
3. The salesperson conducts the call as they would with a real prospect.
4. When the call ends, the system evaluates the conversation against the scenario's objectives and evaluation criteria.

> The system uses the caller-ID match against the salesperson's registered phone number to identify which training task the call belongs to. Salespeople who have not registered a phone number cannot complete a training call.

### Re-Practicing a Completed Training

A completed training scenario can be re-practiced during the scheduled training time. Calls dialed into the assigned tracking number from the same salesperson within the matching window will be linked to the existing completed training (or to a newly scheduled session if one exists) so the salesperson can repeat the exercise.

### Calling from the CRM

If the training session has **Auto-create deal/prospect in CRM** enabled, a deal or prospect record is created in the integrated CRM at the stage configured on the scenario. The salesperson is assigned as the owner of that record (using the CRM Salesperson mapping when set).

This allows the salesperson to initiate the training call directly from the CRM's click-to-call feature, just as they would with a real prospect call.

### Viewing Results

After the call, the training session on the schedule is updated with:

- **Call status** — whether the call was completed (status badge: scheduled, in progress, completed, etc.)
- **Performance score** — an overall score based on the evaluation criteria

The salesperson and their manager can review this feedback to identify areas for improvement.

## Account Settings: Setting Up Defaults

Role: Sales Manager/Administrator

In your account settings you can create defaults for training that save time when scheduling tasks.

### Scenario Defaults

1. Cloning: If the account you are working in has access to child accounts, you can clone scenario defaults across accounts.
2. Scenario Defaults: The basic stage, type of prospect etc can be set up to reduce effort creating new scenarios
3. Prospect Custom Fields: You can set the custom field data to better control the aspects of the training session
4. Persona Prompt

If you are using AI to generate the Primary Contact, you can customize the prompt that is used.


5. CRM Defaults
  1. Allowed CRMs: If you have multiple CRMs integrated, you can choose which ones will be used for scenario building
  2. Which crm is the default for new scenarios
  3. Lead Source: Many CRMs require a lead source to be used for creating prospects
6. CRM Per Stage Objectives and Evaluation Criteria

When creating new scenarios, you can set up default call objectives and call evaluation criteria for each stage. This is used by the AI to analyze your training calls  


> 📝 If you are using ActiveDEMAND’s dialer, every sales call to a prospect will be analyzed using the default call objectives and evaluation criteria. The only requirement is that ActiveDEMAND can associate the call with an open Deal/Prospect contact
